Thank-You Email After an Interview: Timing and Templates
When to send an interview thank-you, what it needs to say, and templates for a hiring manager, a recruiter and a panel.
A thank-you email after an interview is short, quick and specific. It is a second chance to say one useful thing the interview did not fully cover, and a signal that you follow through. It takes ten minutes and most candidates skip it.
When to send it
Send it within 24 hours, ideally the same day. If you interview in the morning, the afternoon works. If the interview runs late in the day, send it the next morning. After three days it reads as an afterthought, so if the window has passed, send a brief note anyway rather than nothing.
What it needs to say
- Thanks, in one sentence, naming the role and the person’s time.
- One specific thing you discussed. A detail from the conversation proves you were listening and that the message is not a template.
- One reason you fit, tied to something they said they need. If you thought of a better answer after the interview, this is the place to add it, in two sentences.
- A clear close. Say you are interested and ask about next steps if they were not covered.
Keep it under 150 words. Send it as an email, not a message on a social network, and use the subject line “Thank you, [role] interview.”
Template: hiring manager
Subject: Thank you, [role] interview
Hi [Name],
Thank you for taking the time to talk with me about the [role] today. I enjoyed hearing how your team is approaching [specific topic from the conversation].
You mentioned that [challenge they described] is the priority for the next six months. In my last role I [relevant result, with a number], and I would bring the same approach here. I am keen to help your team with it.
Please let me know if there is anything else I can send you. I look forward to the next step.

Template: recruiter
Hi [Name], thank you for the conversation today and for the clear picture of the role and the process. I am very interested in the [role] and I think my background in [area] fits what you described. If it helps, I can send [portfolio, references or a work sample] ahead of the next stage. Could you confirm the timeline for next steps? Thank you again, [Your name]
Template: a panel interview
Send a separate, short email to each person, and change at least one sentence in each so they are not identical. Refer to something that person asked or said. If you only have the lead interviewer’s address, write to them and ask them to pass on your thanks to the others by name.
If you want to add something you forgot
“One more thought on the question about [topic]: [two sentences with the stronger answer, including a result].” Add it only if it is a real improvement. A thank-you is not the place for a long second interview.
Mistakes to avoid
- A generic note that could be sent to any company. Add one detail only this interview contained.
- Typos in the interviewer’s name or title. Check the spelling against their signature or profile.
- Asking about salary or benefits here. That belongs later in the process.
- Writing a long message. Short and specific beats thorough.
- Leaving a placeholder in the text. Read it aloud once before you send it.
